The situation
The agency ran client work through Trello, but the board had grown without rules: lists added as needed, cards created by whoever noticed the work, and no clear owner once a card moved. Between every stage sat a manual step that got skipped exactly when the team was busiest.
What I did
Structure first, automation second. I mapped the workflow the team actually followed, rebuilt the board around delivery stages with entry conditions, made every card carry an owner and a due date, and had the client approve the automation rules as a plain-English blueprint before building anything.
The automation layer
Make.com moves and assigns cards when stage conditions are met, creates stage checklists on arrival and notifies the right person where they already work. Anything Trello can enforce natively stays in Butler, which keeps costs and moving parts down. Every scenario was tested against awkward cases before launch.
Outcome
Delivered in four weeks and rated 5.0 on Upwork. The client endorsed Trello, ClickUp and automated workflows on the contract.
